Material verification protocol

A receiving and documentation workflow for keeping unlabeled primary vials associated with the correct product and batch record.

Important handling notice

Primary vials are intentionally supplied without labels

Identity is maintained through the sealed secondary packaging and its order, product, and lot association. Never separate a vial from that packaging or its record. If the association is lost, quarantine the vial and contact support.

Receiving workflow

Seven verification points

  1. 01

    Inspect the parcel before opening

    Check the outer parcel and sealed secondary packaging for damage, opening, or broken tamper evidence. Photograph any concern before changing the condition of the package.

  2. 02

    Match the shipment to the order

    Confirm the order number, dispatch warehouse, catalog product name, selected pack configuration, and quantity against the shipment record.

  3. 03

    Record the lot association

    Locate the lot identifier on the secondary packaging or accompanying record and retain it with the order record. Do not assign an identity to an unlabeled vial from appearance alone.

  4. 04

    Review available batch documentation

    Where a batch document or certificate is supplied, verify that its product name and lot identifier match the received material. Record the stated method, test date, and reported identity or purity result without treating a generic catalog page as batch evidence.

  5. 05

    Inspect container integrity

    Without opening the vial, check for visible cracks, a displaced closure, leakage, or other loss of container integrity. Keep the vial in its associated secondary packaging.

  6. 06

    Quarantine any mismatch

    Do not accept the material into research inventory when the parcel is damaged, the lot cannot be matched, documentation conflicts, or container integrity is uncertain. Isolate it from verified inventory.

    Escalate with minimal data

    Email support@varden-bioscience.com with the order number, warehouse, lot identifier, and a concise description. Include photographs only when needed; do not send medical or payment-secret information.

Catalog reference

Reference data is not batch verification

Molecular formulae, sequences, database identifiers, and structure graphics describe catalog references. They do not prove the identity or purity of a particular received batch.

Documentation record

Retain the association

Keep the order number, product record, warehouse, lot identifier, received date, and any batch document linked in the laboratory’s own inventory record.
